Troop 50 Leader Roles

The committee works behind the scenes to support the Scoutmaster Corp, to support the Troop fundraisers, to keep the books and administer our finances, to plan and organize Boards of Review and Courts of Honor where the Scout’s advancement is reviewed and publicly recognized, to coordinate with our local government and schools, to recruit new Scouts, to plan special events, and to communicate the Troop activities to the Chartering Organization and the community.

The committee acts as the troop’s board of directors and supports the troop program.  The committee is divided into several responsibilities.  There is no maximum number of committee positions and it is up to the troop to determine the roles needed to fulfill their requirements.

Committee Chairperson
  • Organize the committee to ensure all functions are delegated, coordinated, and completed
  • Represent other committee members when absent from committee or council meetings
  • Maintain a close relationship with the charter organization representative and the Scoutmaster
  • Prepare troop committee meeting agendas
  • Call, preside over, and promote attendance at monthly troop committee meetings and any special meetings that may be called.
  • Ensure troop representation at monthly roundtables
  • Interpret national and local policies to the troop
  • Plan the charter presentation
 
  • Adding topics to the meeting agenda
  • Signing off on Eagle Projects

 

Secretary
  • Keep minutes of meetings and send out committee meeting notices
  • At each meeting, report the minutes of the previous meeting
 
Treasurer
  • Handle all troop funds
  • Establish scout accounts and mail regular statements to scouts and leaders
  • Keep proper records using TroopLedger
  • Pay bills on recommendation of the Scoutmaster and authorization of the troop committee
  • Maintain checking and savings accounts
  • Lead in the preparation of the annual troop budget
  • Report to the troop committee at each meeting
 
Membership Chairperson
  • Coordinate membership drive with District Executive
  • Conduct new scout orientation meetings
  • Ensure new scouts receive information packet and forms
  • Collect applications and get appropriate signatures
  • Deliver completed forms to council
  • Collect medical and release forms and retain on file
  • Conduct the troop resource survey
  • Report to the troop committee at each meeting
 
Advancement Chairperson
  • Encourage scouts to advance in rank
  • Work with the troop scribe to maintain all scout advancement records
  • Arrange monthly boards of review
  • Arrange quarterly courts of honor
  • Develop and maintain a merit badge counselor list
  • Work with the troop librarian to build and maintain a troop library of merit badge pamphlets and other advancement literature
  • Secure badges and certificates
  • Report to the troop committee at each meeting
 
Eagle Advancement Coordinator
  • Meet with scouts to discuss their Eagle project
  • Advise scouts on the content of their Eagle project workbook
  • Coordinate the Eagle project review with the committee
  • Coordinate the Eagle board of review meeting with the committee
  • Assist parents and Eagle Scouts with the Eagle court of honor
  • Report to the troop committee at each meeting
 
Outdoor Activity Coordinator
  • Assist the scoutmasters in developing and planning the monthly outdoor program
  • Assist in securing permission and reservations to use camping sites
  • Serve as a transportation coordinator
  • Secure tour permits for all troop activities
  • Ensure all scouts and leaders attending an event have the proper funds in their scout account
  • Promote the National Camping Award
  • Promote, through family meetings, attendance at troop campouts, camporees, and summer camp toreach the goal of an outing per month
  • Report to the troop committee at each meeting
 
Training Coordinator
  • Ensure troop leaders and committee members have opportunities for training
  • Maintain records on adult leader training completed
  • Ensure troop leaders are trained in compliance with the requirements of the national BSA organization
  • Maintain an inventory of up-to-date training materials and other training resources
  • Work with the district training team in scheduling Fast Start training for all new leaders
  • Be responsible for the BSA Youth Protection training within the troop
  • Report to the troop committee at each meeting
 
Troop Chaplain
  • Provide guidance for the chaplain aide
  • Encourage Boy Scouts to earn their appropriate religious emblems
  • Promote regular participation of each member in the activities of the religious organization of his choice
  • Give spiritual counseling service when needed or requested
  • Report to the troop committee at each meeting
 
Fund Raising Chairperson
  • Distribute fund raising information to scouts
  • Coordinate public fund raising events
  • Complete and submit tour permits to council, as needed
  • Ensure money unit earning applications are completed and submitted to council
  • Report to the troop committee at each meeting
 
Quartermaster
  • Arrange for storage of troop equipment
  • Ensure troop equipment is in good working condition
  • Ensure troop equipment is at the departure location for campouts
  • Ensure troop equipment is returned in good condition
  • Identify equipment needs and get committee approval for purchase
  • Purchase new equipment
  • Report to the troop committee at each meeting
 
Publicity Chairperson
  • Organize pictures and announcements of scout events and individuals for providing to the local media
  • Gather media release forms from scouts
  • Report to the troop committee at each meeting
 
Special Activity Coordinator
  • Plan and coordinate special troop events, such as troop and Eagle Courts of Honor
  • Purchase refreshments for each event
  • Schedule resources such as meeting rooms, etc.
  • Coordinate volunteers to assist with running each event
 
Newsletter Editor
  • Solicit input for the newsletter from scouts and troop leaders
  • Create the monthly newsletter and edit the content, as necessary
  • Distribute the newsletter via e-mail and postal mail to members of the troop and 2nd year Webelos
 
Webmaster
  • Update the website with the changes from the newsletter each month
  • Add documents and content, including for the troop calendar
  • Manage forms and additional resources
  • Manage the troop leader e-mail addresses
  • Maintain the troop distribution lists for all troop members, including leaders, scouts, and parents
  • Manage and renew the troop domain name
